The short version: we collect only what we need to run the Club, we never sell your details or pass them on without your consent (unless the law requires it), and this website sets no cookies, uses no trackers, and stores nothing you type into it.
Who we are
Malvern & District Dog Training Club ("the Club", "we") is an unincorporated, not-for-profit members' club and a Kennel Club registered society. For the personal information described in this policy, the Club is the data controller under UK data-protection law — the UK GDPR and the Data Protection Act 2018. If you have any questions about this policy or about your information, contact the Club Secretary at secretary@mddtc.org.uk.
As a small not-for-profit club processing personal information only for its own membership and activities, the Club relies on the not-for-profit exemption from the Information Commissioner's Office data-protection fee.
What we hold and why
Membership and enrolment
When you enrol, we hold the information from your enrolment form — your name, address and contact details, the names of family members who may attend training, and details about your dog — together with things we add along the way, such as your date of joining and any Kennel Club Good Citizen awards your dog passes. We use it to run your membership and classes under the Club's Rules & Regulations.
This information is held, on computer and on paper, only by people with a Club role that needs it: Committee members, Trainers and Training Assistants, and the Membership Secretary.
Keeping in touch
We use your contact details to tell you about training classes, Club social events and other information we think will be useful to you — in person at classes, by email (our preferred method), by phone, or by post if you do not have email. Phone numbers matter for the times we need to reach you quickly: classes cancelled due to disease outbreaks, changes due to bad weather, or when other methods have failed to reach you.
Kennel Club awards
For any dog entered for the Kennel Club's Good Citizen Dog Scheme awards, including the Puppy Foundation Award, your name, address and email address and your dog's pet name, KC registered name (if applicable) and breed/type are supplied to the Kennel Club.
The newsletter
Handlers' and dogs' names are used in the Club newsletter, which is sent by email or post to current members and a small number of ex-members who have asked to keep in touch. Newsletters are not published online.
The website and photographs
On the website we usually use handlers' first names only and dogs' pet names — other than links to other trainers or organisations with permission, or where details are already in the public domain. Photographs may be taken at classes for promotional use; please speak to a trainer or any member of the Committee if you do not agree to this.
This website
No cookies, no trackers
This site sets no cookies, uses no analytics and runs no third-party trackers — which is why there is no consent banner: there is nothing to consent to. The spam protection on our forms (Cloudflare Turnstile) also sets no cookies.
The contact and enrolment forms
What you type into the contact form (your name, email address, telephone number, your dog's breed and date of birth, and your message) or the enrolment form (the enrolment details described above, plus the date and reference of your course payment) is relayed straight to the Club's email inbox. It is not stored on the website — the site keeps no copy once the email has been delivered.
Who works on the Club's behalf
The website is built and operated for the Club by The Code Abides Limited under a written agreement that includes UK GDPR processor terms. The site relies on Cloudflare, Inc. (hosting, content delivery and spam protection) and Resend, Inc. (delivery of form submissions by email). Both are US companies; transfers of UK personal data are protected by UK-approved safeguards (the UK Extension to the EU-US Data Privacy Framework, or the ICO's international data transfer addendum). Transient technical data, such as IP addresses, appears briefly in infrastructure logs used for security and spam protection.
Who we share information with
Beyond the Kennel Club submissions and the service providers described above, we will not pass on personal information about you or your dog to any third party without your prior consent, unless we are legally required to do so — for example, by the Police.
Information on our Facebook Page and Group is usually posted by the individual concerned, or by the person running the Page and Group with permission. The Club does not control Facebook: while we would remove posts on written request, we cannot accept responsibility for the security of information made public through Facebook or other social media. This website links to Facebook but embeds nothing from it.
How long we keep information
We keep membership information while your membership is current. If your membership lapses, we remove your details within a reasonable time — except where you have asked to stay in touch (the newsletter list), or where a record forms part of the Club's history, such as awards gained.
Your rights
Under the UK GDPR you have the right to be informed; the right of access; the rights to rectification and erasure; the rights to restrict processing and to data portability; the right to object; and the right not to be subject to automated decision-making, including profiling. To exercise any of them, contact secretary@mddtc.org.uk — we handle subject access requests in accordance with the UK GDPR.
You also have the right to complain to the Information Commissioner's Office (ico.org.uk) if you feel there is a problem with the way we are handling your information — though we would always rather you raised it with us first, so we can put it right.
Changes to this policy
Any changes will be published on this page with a new version number and date.
